How picture day runs

A programme your office can hand over and forget about.

We manage planning, parent communication, the shoot itself, ordering, payment and delivery. The school supplies a hall, a class list and one staff helper.

  1. Planning call and written plan

    We agree the date, the programmes and the running order with your office, then send a one page plan the school can circulate to staff.

  2. Parent notice and consent

    We supply the parent notice and consent slip in advance. Opt outs are recorded and those learners are excluded from the shoot.

  3. Picture day on campus

    Our team sets up before first bell. Classes rotate in short slots and learners return straight to lessons. Staff headshots run in the same visit.

  4. Parent ordering and payment

    Private galleries open within seven working days. Parents view, order and pay online. The school handles no money and no paperwork.

  5. Delivery and archive

    Prints are delivered to the school, digital class groups go to the office, and files are archived for five years for reorders and replacements.

Parent ordering and payment

No cash, no order forms, no reconciliation.

  • Each family receives a private gallery link and a unique access code.
  • Parents choose packages, prints and digital files online at their own pace.
  • Payment is by card, instant EFT or other PayFast methods, direct to us.
  • Orders are delivered to the school sorted by class for easy handout.
  • Late orders and reorders stay open through our portal for five years.

Data, consent and safeguarding

POPIA handled before we arrive.

  • Parent notice and consent slip supplied by us and issued by the school.
  • Opt outs recorded in advance so those learners are not photographed.
  • Galleries are private, code protected and never publicly indexed.
  • Images are used for the school programme only and never sold or licensed on.
  • Photographers carry identification and work under staff supervision on campus.
  • Written deletion requests are actioned and confirmed back to the school.

How much teaching time does picture day cost us?

A typical school of 800 learners is photographed in one morning. Classes rotate through in slots of about twelve minutes and return to the classroom immediately after, so most learners miss a single period at most.

What does the school have to pay?

Nothing. Our school programmes are funded by family orders. The school receives its class group files and staff headshots at no charge as part of the programme.

How do parents order and pay?

Every family receives a private, secure gallery link with a code. Parents order online and pay by card, instant EFT or other PayFast methods. The school never handles cash, order forms or reconciliation.

What happens with learner images and personal information?

We work to POPIA. Images are processed for the school programme only, stored in encrypted galleries, never sold or licensed to third parties, and removed on written request. Opt outs are recorded before picture day and those learners are simply not photographed.

How long until we receive the photographs?

Private galleries open within seven working days of the shoot. Family print orders are delivered to the school within ten working days of the order window closing.

Can you work around exams and sports fixtures?

Yes. We build the running order with your office around exam weeks, fixtures, assemblies and hall availability, and confirm it in writing before the day.

What space and support do you need on the day?

One hall or classroom with a power point, and a class list plus one staff member to help learners line up. We bring lighting, backdrops, laptops and our own team.
